THL Gourmet Foods Inc. is one of the leading importers and distributors of Asian food products from the Pacific Rim and other regions of the world. We are currently looking for a Sales Admin Assistant to join our team.

Position Summary:

The Sales Admin Assistant I will primarily focus on general Sales Admin duties, such as order processing and providing support to the Sales team and Warehouse to ensure smooth delivery and service to customers.

Contract length: 9-month

Working Hours:

  • 40 hours per week
  • 8 hours between 7:30AM to 7:00PM, Monday to Friday

Job Responsibilities:

  • Process and accurately enter customer orders into the system.
  • Monitor order postings, deliveries, and issue credit notes as required.
  • Collaborate with Sales and Warehouse teams to ensure smooth daily operations.
  • Coordinate and schedule pickup appointments with carriers
  • Communicate with logistics partners to ensure timely and accurate deliveries
  • Assist with invoicing and accounts receivable (AR) tasks
  • Maintain organized records and support general administrative tasks such as process Return Merchandise Authorizations (RMAs), set up new customer accounts, manage stock adjustments, answer incoming phone calls, assist walk-in/pickup customers etc.
  • Perform other duties as required to support departmental functions.

Requirements / Must-Haves:

  • Post-secondary diploma or degree in Business Administration or a related field.
  • Proven experience in a sales support or sales administration role.
  • Must be reliable, responsible, punctual and be able to follow directions.
  • Ability to adapt to changing priorities and activities in a fast-paced and deadline driven environment.
  • Good attention to details and intermediate knowledge of office software.
  • Self-motivated with strong organizational, multitasking, interpersonal and administrative skills.
  • Able to working both independently and as part of a team in an office setting
  • Positive attitude and enthusiastic.
  • Proficiency in verbal and written English.

Assets / Nice-to-Haves:

  • 1-2 years of relevant working experience is preferred.
  • Experience or training with D365 is a plus
  • Proficiency in Mandarin or Cantonese (spoken and written) is an asset to support communication with international customers or suppliers.
  • Experience in logistics is an advantage.
